2. Our data protection principles
We aim to process personal data in a way that is:
- Lawful, fair and transparent — we tell people what we do with their data
- Purpose-limited — collected for clear reasons related to our services
- Minimised — we only ask for what we need
- Accurate — we correct errors when we are told about them
- Storage-limited — kept no longer than necessary
- Secure — protected with appropriate technical and organisational measures
- Accountable — we take responsibility for how data is handled
3. Security measures
Depending on the systems we use, safeguards may include:
- Restricting access to customer and enquiry information to authorised staff only
- Using password-protected devices and accounts for business email and records
- Keeping paper records secure when used
- Taking care when transferring information by phone, email or messaging
- Deleting or securely disposing of information that is no longer required
No method of transmission or storage is completely risk-free. If we become aware of a personal data breach that is likely to result in a risk to people’s rights and freedoms, we will assess it and notify the ICO and affected individuals where required by law.
4. Staff and third parties
Anyone working for us who handles personal data is expected to treat it confidentially and only for business purposes. Where we use external providers (for example email hosting or accountancy), we expect them to process data only on our instructions and with appropriate security.
5. Requests from individuals
If you want to access, correct, erase or otherwise exercise your rights over personal data we hold, please email info@iscoldautomotive.com with enough detail for us to locate your information. We will respond within the time limits set by UK law (normally one month).
You also have the right to complain to the Information Commissioner’s Office: ico.org.uk.
6. Training and review
We review our data handling practices from time to time, especially if our website, systems or services change. This statement and our Privacy Policy will be updated when needed.
